Booking Terms and Conditions

It must be emphasised that on booking the hall you must allow for time within the hire period to set up and clean up afterwards unless you select the ‘Exclusive Hire’ option. We suggest you allow 1 hour prior to and 1 hour after your event.

Any Booking that is by an Organisation as against a private booking must be covered by your own insurance and proof must be shown prior to hire being accepted.

The Hall Committee accept no responsibility for any loss incurred through bookings made to 3rd parties e.g. caterers and entertainment etc prior to the issue of a Hall Hire Acceptance Form.

Please remember that if you book Online you must ensure you receive a confirmation Email to ensure your booking has been accepted.

Cheques are to be made payable to Kirkbampton Village Hall and is to include an additional separate cheque for £50 which will not be cashed and will be refunded if all conditions of hire are met in full.

The following clause applies to all hirers:

I understand that if there is any damage or breakages or additional cleaning (in excess of my deposit) is required as a result of my hiring of the hall I will be liable for these costs.


  1. No subletting is allowed.
  2. The Hirer should not use the premises for any other purpose than as stated in the hire agreement.
  3. In the event of damage being caused to the hall or contents as a result of the hire, the Hirer will be fully responsible for the full cost of repair/replacement. Any damage, breakages or additional cleaning required must be reported to the booking secretary.
  4. The Hirer will be responsible for maintaining good order and will ensure no adverse disturbance is caused to local residents.
  5. The Hall will be available for use during the times shown on the booking form.
  6. The Hirer is responsible for the preparation of the hall; early access may be possible, as long as such access does not interfere with other users.
  7. The Hall must be left clean and tidy; any tables and chairs used must be cleaned and replaced in their storage positions.
  8. All lights and other equipment should be turned off and heating left as per instructions.
  9. The Hirer, if preparing food, must comply with all Health & Safety regulations.
  10. All electrical equipment brought into the hall must be in good working order and carry a current PAT label and be used only for the manner for which it was intended.
  11. Cancellation of any booking must be made within 7 days of the intended hire date. Failure of this may result in the Hirer having to pay in full.

The Village Hall committee would like to advise the community that the village hall is available for hire for all occasions. We are sensitive to the fact that our on-line booking system is not inclusive for everyone and we do have our direct email. If all else fails please contact us on 01228 576869. This is not a live line but will go to an answerphone after 8 rings where you can leave a message and we will get back to you. Please note that contacting us by email is our preferred way as it is always on. We cannot guarantee a quick reply by phone. We would like to take this opportunity to assure everyone that hall bookings for Funeral Teas take president over all other regular bookings and that our regular hall users are happy to accommodate such requests.
